Administrative Assistant – The Perimeter
The Perimeter invites applications for a hard-working and proactive Administrative Assistant to support its daily operations. This role is fundamental to the smooth functioning of the organization and offers deep exposure to the working life of a contemporary art space.
The Administrative Assistant acts as the first point of contact for all visitors, supports the core team across administrative and operational tasks, handles front-of-house duties, contributes to visitor experience, and assists with logistics, scheduling, digital tasks, and exhibitions. The position requires excellent interpersonal skills, a solution-oriented mindset, and a polished, professional manner.

Position & Tasks
Front of House Responsibilities
- Serve as the primary point of contact for all visitors, delivering a welcoming and professional presence.
- Provide informed responses to inquiries regarding exhibitions and the building.
- Lead reception duties including invigilation, visitor engagement, phone responses, and email communication.
- Offer tours and introductory talks to group visits.
- Maintain gallery presentation, ensuring all areas are clean, professional, and visitor-ready.
- Perform daily building checks, addressing artwork and building needs with meticulous attention to detail.
- Ensure press releases and exhibition materials are available.
- Assist with events, private views, and public programs.
- Support building operations including opening, closing, keyholding, and liaising on maintenance needs.
Administrative Responsibilities
- Handle general office duties, data entry, and daily administration.
- Track and report visitor numbers; assist with diary coordination and scheduling.
- Organize couriers and support logistics including collections and shipments.
- Order office and gallery supplies, coding invoices and reporting to finance.
- Update mailing lists and databases.
- Assist with social media content creation and audience engagement.
- Manage catalogue sales, inventory, and bookshop operations (SumUp, Shopify).
- Ensure publications are delivered internationally to partner museums and libraries.
- Monitor and report stock levels of publications and gallery items.
- Assist with international shipments alongside the Gallery Manager.
- Support the team with ad-hoc tasks when needed.

Eligibility

- Excellent interpersonal and communication skills.
- High-level customer service experience.
- Numeracy and proficiency in Microsoft Excel and data entry.
- Interest in contemporary art.
Desirable (not required):
- Operations/building management experience.
- Adobe Creative Suite, art databases, and strong IT skills.
- Experience with retail, hospitality, SumUp, Shopify, Transglobal, or packing/shipping.
