Short Description

Reporting to the Director of Development, with a dotted line to the Senior Manager of Institutional Giving, the Development Coordinator will play a key role in project managing development activities and supporting all aspects of The Kitchen’s fundraising efforts. Responsibilities include database management and income tracking, moves management support, coordination of development events such as the Spring Gala, and ensuring the department stays organized and on track with its goals. A major upcoming project will be guiding the transition from the current CRM (AudienceView) to a new, more integrated platform.

Position & Tasks

  • Development Operations:
    • Manage development operations, including CRM/database entry, record keeping, and gift processing.
    • Manage solicitation timelines for semi-annual appeals, membership renewals, and annual gala.
    • Oversee correspondence from shared inboxes (development@, director@) and generate weekly correspondence reports.
    • Schedule and coordinate meetings for Development staff and leadership, prospects, collaborators, and stakeholders; manage calendars, follow-ups, and related correspondence.
    • Support weekly Development meetings by drafting agendas, maintaining action-item notes, tracking deadlines, and ensuring follow-through across fundraising initiatives.
    • Generate invoices for individual, board, and corporate income; ensure timely receipt of funds.
    • Draft and mail acknowledgment letters; manage gift transmittals; update moves management and income trackers; and coordinate monthly reconciliations with Finance.
    • Coordinate edition sales with the Operations Manager.
    • Collaborate cross-departmentally (Curatorial, Production, Archives, Finance
    • Communications) on fundraising projects and organizational priorities.
  • Institutional and Individual Giving Support
    • Assist the Senior Manager of Institutional Giving with research, compiling data, and creating preliminary drafts for institutional grant applications and reports.
    • Maintain donor and member records; draft membership and donor appeals, newsletters, and VIP invitations; and ensure that communications are delivered on schedule in collaboration with the Communications team.
    • Conduct regular prospect research on individuals and foundations to grow the institution’s fundraising goals.
    • Support in drafting and copy editing outreach and proposals, and ensuring fundraising materials and templates are current to The Kitchen’s Brand Guidelines.
    • Compile or create supplementary materials such as one-pagers, decks and work samples.
    • Ensure accurate donor recognition across print and digital platforms.
  • Gala and Special Events
    • Coordinate all admin tasks related to The Kitchen’s annual Spring Gala event, as well as monthly patron events.
    • Maintain segmented events invitation lists, conducting regular data maintenance and seasonal updates.
    • Track all RSVPs, liaise with vendors, and provide day-of assistance for live programs.
    • Manage Gala timeline and budget, ensuring tasks proceed according to plan with supervision from the Director of Development.
    • Support with all development events for cultivation and stewardship of new and existing donors and prospects by creating invite lists, sending out invitations and follow-ups, leasing and coordinating vendors and participating artists.
    • Create face sheets for attendees for each event.

  • Two to three years of experience working in a fundraising-related field, or working in gallery assistance, museum, or non-profit work, or internships with administrative responsibilities. Prior experience with a donor database, preferably Audience View or a comparable CRM preferred.
  • Collaborative, professional, and respectful team player, clear verbal communicator, ability to work with diverse constituencies (staff members, artists, board, funders, public)
  • Strong writing and research skills, as well as excellent organizational skills, criticaldiplomacy, attention to detail, responsible for timelines and key dates or deadlines, and ability to format and produce documents according to a style guide
  • Vested interest in working for a nonprofit arts organization with an avant-garde and experimental mission
  • Self-directed with a proven ability to adhere to layered and simultaneous deadlines, plan ahead, and work independently when needed
  • Ability to manage multiple projects at once and handle confidential information
  • Proficiency in MS Office Suite and knowledge of donor databases
  • Bachelor’s degree or equivalent experience required
  • Receptivity to a work schedule that sometimes will involve evenings and weekends as tied to institutional programming

Program Benefits

The salary for this role is $60,000. This is a full-time position at 40 hours/week and includes medical, vision, and dental insurance and paid time off. The position is exempt according to the Fair Labor Standards Act.
