Title & Description

Executive Assistant
This role is a pivotal administrative and artistic support position designed to ensure the smooth operation of the organization’s leadership. The Executive Assistant serves as the "right hand" to the Executive Director, facilitating the strategic initiatives of the park. Beyond standard administration, the role involves coordinating high-level communications with the Board of Trustees, assisting with artist contracts, and supporting the logistics of a robust calendar of exhibitions and educational programming. It is an ideal position for a proactive professional who thrives in a mission-driven, creative environment.

The Role Overview

  • Salary: Up to $50,000 annually (commensurate with experience).
  • Contract Type: Full-time, Permanent.
  • Reporting To: Executive Director.

Position & Tasks

  • Managing the Executive Director’s calendar, email, and meeting logistics with high discretion.
  • Acting as the communication hub between the Executive Director, staff, and the Board of Trustees.
  • Preparing board packets and agendas, and taking a leadership role in managing board communications.
  • Drafting, editing, and formatting professional reports, presentations, and correspondence.
  • Organizing digital and physical records for strategic projects, art loans, and acquisitions.
  • Coordinating travel arrangements and expense tracking for the Director and guest artists.
  • Supporting major events and staff retreats, including scheduling and execution.
  • Assisting with grant documentation and sponsorship impact data collection.

Eligibility

This call is open to professionals who meet the following criteria:

  • Minimum 3+ years of experience as an Executive Assistant or in a similar leadership support role.
  • Strong proficiency in Microsoft Office, collaboration tools (Teams/Zoom), and CRMs (Salesforce/Veevart).
  • Exceptional organizational skills and a polished, service-oriented demeanor.
  • Experience supporting non-profit boards and an understanding of governance processes is preferred.
  • Knowledge of donor development and arts operations is a plus.
