Brooklyn Arts Council (BAC) was founded in 1966, beginning as the Brooklyn Arts and Cultural Association before adopting its current name in 1987. Founded by a group of Brooklyn residents including Charlene Victor, who served as its first executive director, BAC is the borough's leading nonprofit organization supporting artists and cultural groups across all disciplines. The organization's mission is to promote and sustain the arts in Brooklyn and, through the arts, to serve the community as a whole. BAC provides grants, professional development, cultural heritage programming, and arts education delivered via distance learning, and supports Brooklyn's visual artists through its online Artist Registry and its BAC Gallery exhibition space, located in its offices in DUMBO. The organization is celebrating 60 years of service this year.

Executive Initiatives & Board Liaison

Brooklyn Arts Council is seeking an Executive Initiatives & Board Liaison to provide high-level administrative and project support to the President & Executive Director and serve as a key point of coordination for the leadership team and Board of Directors. The role spans a range of administrative, logistical, and project-based tasks, including managing schedules and logistics, advancing strategic initiatives such as the Brooklyn Arts & Culture Kollective and the collective work of the NYC borough Arts Councils, preparing materials, tracking action items, and following up with stakeholders to keep projects moving forward.

In a given week, the person in this role can expect to coordinate and communicate with a wide range of partners, prepare agendas and briefing notes, create decks, compile information, and develop systems and processes to help manage projects and information. The position requires exceptional organizational and administrative skills, attention to detail, sound judgment and discretion, and the ability to build positive working relationships, and is suited to someone comfortable juggling multiple priorities in a dynamic, mission-driven nonprofit environment.

The Role Overview

  • Position Type: Part-time, 21 hours per week, non-exempt
  • Salary: $35/hour for 21 hours a week
  • Reports To: President & Executive Director
  • Department / Programme: Office of the President & Executive Director / Board of Directors liaison
  • Working Hours: 21 hours per week; hybrid schedule with in-person work expected approximately 2 days a week on average, including weekly in-person staff meetings

Position & Tasks

  • Administration & Coordination
    • Manage the President & Executive Director's calendar and scheduling, prioritizing requests to align the ED's time with organizational priorities
    • Manage meeting logistics, including booking rooms, making reservations, setting up technology, and organizing hospitality where appropriate
    • Coordinate travel for the President & Executive Director and leadership team
    • Maintain organized files and documentation, and manage receipts and reimbursements for executive expenses
    • Handle confidential information with professionalism and discretion
    • Prepare agendas, take minutes, and follow up on action items in weekly leadership team meetings
    • Provide administrative support for organization-wide planning initiatives as needed
  • Strategic Initiatives & Special Projects
    • Coordinate and facilitate executive and strategic projects, supporting complex scheduling and external communications
    • Attend meetings, capture clear notes, identify action items, and distribute follow-up communication
    • Track deadlines, monitor progress, and proactively follow up to ensure work stays on schedule
    • Prepare research and briefing notes as requested
    • Support the ED, Deputy Director, and finance partner ArtsPool in maintaining financial records (invoices, receipts) for Executive and Board, ensuring expenditure is monitored and tracked appropriately
    • Coordinate staff gatherings and events, including the annual retreat and other culture-building activities, supporting scheduling and logistics and working with outside vendors where appropriate
  • Governance
    • Serve as the main point of contact for the Board of Directors and support the President & Executive Director with all governance matters
    • Coordinate logistics for Board and committee meetings
    • Prepare and distribute board packets and meeting materials
    • Record meeting minutes and track follow-up actions
    • Maintain board records and assist with board communications
    • Support board member onboarding and administrative needs
    • Cultivate and foster positive relationships both within the organization and with external partners, upholding and embodying organizational values
    • Provide additional organizational support and other duties as required

Eligibility

  • 2–3+ years of high-level executive support in a nonprofit or similar environment, including with boards of directors
  • Close attention to detail and administrative skills
  • Excellent written and verbal communication skills
  • Skilled at managing multiple projects simultaneously
  • High emotional intelligence, sound judgment, and discretion when handling confidential information
  • Ability to remain calm under pressure and be adaptable
  • Demonstrated ability to manage technology, systems, and troubleshooting, and proficiency with Google Workspace, Zoom, and Asana
  • Strong organizational skills and a desire to serve with greater capacity and efficiency
  • Ability to build and cultivate positive working relationships with a wide range of stakeholders
  • A desire to support and an interest in arts and culture and the diverse range of Brooklyn communities served
  • Candidate should be available to start in early October
