The Visual Arts Centre of Clarington (VAC) is a not-for-profit public art gallery and arts education centre located in Bowmanville, Ontario, Canada. The organization was incorporated in 1976 to deliver contemporary art to the Clarington Community, the wider Durham Region, and beyond, and is approaching its 50th anniversary in 2026 with a continuous history of community engagement connecting people of all ages and backgrounds through artmaking and learning. The VAC occupies a four-story 1905 mill on the banks of Soper Creek, housing exhibition and studio spaces including a fully equipped pottery studio, a painting studio, and a rustic loft gallery. Its mission centers collaboration to deliver dynamic and inspiring contemporary art exhibitions and educational programs within an environment that champions equity and inclusion, prioritizing artistic production and support for Canadian artists through new commissions.
Title & Description
Exhibition and Event Coordinator
The Exhibition and Event Coordinator supports the implementation of exhibitions and related public programming at the VAC. Working closely with the Executive & Artistic Director and a small, close-knit team, this role manages exhibition and event logistics, supports artist and curator needs, and assists with installation, production, and presentation of exhibitions and public-facing activities. The Coordinator is expected to ensure projects are delivered professionally and efficiently while helping to foster an engaging and welcoming gallery experience for visitors.
The Role Overview
- Position Type: Part-time, 25 hours per week
- Contract Type: 1-year contract, with possibility of extension
- Salary: $23–$25/hr
- Reports To: Executive & Artistic Director

- Working Hours: 25 hours per week; occasional evening and weekend work required for events, installations, and public programs

Position & Tasks
The Exhibition and Event Coordinator will assist with the planning, implementation, and presentation of exhibitions and public programs. Primary responsibilities include:
Exhibition Coordination
- Coordinate exhibition production schedules
- Manage artwork shipping and logistics
- Organize exhibition installation and deinstallation
- Coordinate external installers and contractors when required
- Prepare exhibition labels, checklists, didactic panels, and artist information
- Communicate with artists, curators, contractors, and lenders
- Support exhibition accessibility initiatives
- Enhance visitor experience throughout exhibitions
Event & Public Programming
- Coordinate exhibition openings
- Assist with artist talks
- Support workshops and community programming
- Organize event equipment, schedules, and logistics
- Assist with setup and takedown
- Ensure events are welcoming and professionally presented
Administration
- Source supplier quotations
- Track exhibition and event expenses
- Maintain artist and exhibition records
- Organize documentation and loan files
- Assist with reporting and data collection
Communications Support
- Gather promotional materials
- Assist with newsletters
- Update website content
- Support social media communications
- Assist audience engagement initiatives

Eligibility
- Strong organizational and project coordination skills
- Ability to manage multiple projects and deadlines in a fast-paced environment
- Experience coordinating events, projects, or public programs
- Familiarity with contemporary art and artist-centred practices
- Preferred but not mandatory: post-secondary education in arts administration, visual arts, cultural management, or a related field
- Preferred but not mandatory: experience working in a gallery, museum, artist-run centre, or arts organization
- Preferred but not mandatory: proficiency with Google Workspace
- Preferred but not mandatory: experience with exhibition installation and artwork handling
- Physical requirements: ability to use hands to handle/feel objects or controls; ability to talk, hear, stand, walk, and sit regularly; ability to occasionally reach with hands and arms, stoop, kneel, and lift/move up to 20 pounds; ability to climb stairs
