Temporary Selection Process – Administrative Position (Registry Department) at MACBA
This opportunity is a public selection call for a temporary administrative position within MACBA’s Registry Department. The role focuses on the management and coordination of administrative processes related to the museum’s collection, including documentation of artworks, customs procedures, insurance management, loan agreements, and internal and external movements of artworks.
The selected candidate will contribute to the operational backbone of MACBA’s collection management system, ensuring legal, logistical, and administrative compliance in the handling of artworks. This position is not an artistic production residency but a culturally embedded institutional role that directly supports the functioning of a major contemporary art museum.
The Role Overview
- Position: Administrative Officer – Registry Department (C1 Group)
- Contract Type: Temporary labour contract (substitution basis)
- Workload: Full-time (37.5 hours/week)
- Salary: €27,508.82 gross annually (12 payments)
- Work Mode: On-site, mandatory in-person attendance
- Meal allowance: €7.27 per working day
- Vacation: 23 working days per year + 10 personal leave days or 75 flexible hours
- Reporting Line: Registry Department Management (Head of Registry)
- Selection Committee: Internal MACBA HR and Registry representatives
Position & Tasks
- Managing customs documentation for loans and acquisitions of artworks
- Coordinating insurance contracts, certificates, premiums, and claims related to artworks
- Handling administrative procedures for export permits of cultural heritage objects
- Supporting loan agreements, documentation updates, and invoicing processes
- Maintaining and updating collection databases (e.g., COELI system)
- Assisting with internal and external artwork movements
- Providing administrative support for departmental budgeting and procurement systems
- Coordinating photographic documentation sessions for the collection
- Supporting transversal production and institutional processes
- Ensuring compliance with institutional procedures, quality standards, and risk management protocols

Eligibility
- Minimum qualification: High School Diploma, Vocational Training (C1 equivalent), or equivalent
- Minimum 2 years of relevant professional experience in museums, cultural institutions, or archives
- Knowledge of administrative systems related to collections, documentation, or registry work
- Language requirements:
- Catalan: C1 level or equivalent (or pass institutional test)
- English: B2 First (FCE) or equivalent (or pass test)
- EU citizenship or eligible work authorisation in Spain
- Availability for immediate employment upon selection
- Strong administrative and organisational skills
- No legal or disciplinary restrictions preventing public employment
- Capacity to work full-time in a structured institutional environment
