Title: Registrar, Hong Kong (Full-Time, Permanent, On-Site)
This role is a core operational position responsible for overseeing the end-to-end movement, documentation, and logistical coordination of artworks across Hong Kong and Seoul. The Registrar serves as the central point of control for artwork tracking, shipping, storage, customs compliance, and condition reporting.
The position ensures that all artworks—whether part of exhibitions, client sales, consignments, or loans—are handled in accordance with strict legal, insurance, and internal standards. A key aspect of the role is maintaining accurate inventory systems and coordinating with international shippers, storage facilities, and third-party agents.
Beyond logistics, the Registrar also acts as a liaison between internal departments (exhibitions, sales, accounts) and external stakeholders (clients, collectors, institutions), ensuring clear communication regarding artwork movement, condition, delivery timelines, and post-sale processes.
The role is fundamentally administrative and operational, but it is deeply embedded within the exhibition lifecycle and commercial workflow of the gallery.
The Role Overview

- Working Hours: Tuesday to Saturday, 11:00 AM – 7:00 PM (additional hours as required)
- Functional Scope: Registrar operations for Hong Kong with oversight support for Seoul gallery logistics

Position & Tasks
The Registrar will be responsible for a wide range of operational duties, including but not limited to:
Operations & Administration
- Tracking inbound and outbound artwork movements across galleries and warehouses
- Coordinating shipments, storage transfers, and logistical scheduling
- Managing relationships with shipping companies, storage providers, and warehouse facilities
- Ensuring all customs documentation is complete, accurate, and compliant with regional regulations
- Preparing shipping quotes, logistical schedules, and movement plans
- Conducting inventory checks and maintaining accurate records of all artworks in Hong Kong and Seoul systems
- Supporting condition reporting and ensuring updates are properly logged
- Providing reporting support to accounts teams for customs and financial processing
- Acting as a first point of contact for internal and external queries regarding artwork status and condition
Exhibitions, Loans & Consignments
- Coordinating inbound and outbound consignments
- Managing logistics for exhibitions, viewing rooms, and institutional loans
- Overseeing third-party technical agents working on-site or externally
- Ensuring timely alignment between exhibition schedules and shipment deadlines
- Managing secondary market consignments and related logistics workflows
Client Services
- Coordinating post-sale delivery once payment is confirmed
- Preparing and communicating shipping estimates for clients and sales teams
- Ensuring safe release of artworks from storage facilities
- Providing handling, installation, and care instructions for artworks
